Overview:    The Philanthropy & Donor Relations Strategist plays a key role in advancing the         organization’s fundraising, donor engagement, and marketing efforts. This position         supports strategic donor cultivation and stewardship, manages the donor database         (Bloomerang), and ensures timely and accurate gift acknowledgment and reporting. This position focuses on long term stewardship to ensure donors feel valued and connected to their contributions to our Center.   

Essential Functions 

 

Donor Strategy Advising 

  • Advises the team on prospective donors, foundations or grants, and the strategy behind soliciting them  
  • Compiles and maintains donor prospect lists to support targeted outreach and development initiatives. 
  • Prepares agendas and follows up on action items for philanthropy team meetings to ensure accountability and progress. 
  • Establishes methods to evaluate the effectiveness of fundraising and donor engagement efforts and revises strategies as needed. 
  • Identifies parameters for targeted communications, runs mailing lists, and makes corrections in the database as noted during list review. 

 

Donor Management & Database Administration 

  • Manages and reports on donor interactions, plans for follow-up, and recurring meetings to the team and in the database system  
  • Maintains and updates donor records, mail and email lists, reviews and edits donor lists, and monitors communication responses to ensure accuracy and engagement. 
  • Prepares and mails acknowledgment letters to donors and sponsors promptly and accurately. 
  • Maintains tracking systems to confirm that all contributions are properly recorded and recognized, in conjunction with Staff Accountant 
  • Maintains philanthropy electronic files and folders to ensure documents are organized, accessible, and up to date. 
  • Works with and evaluates third-party database solutions, implements additional functionality in Bloomerang, and conducts regular database maintenance, including cleaning duplicates and updating group information 
  • Update and track yearly fundraising goals in donor management system Bloomerang 
  • Logs acknowledgment letters for donations and grant payments and enter all contributions accurately into the donor database. 
  • Update group information, run reports, and support fundraising and marketing campaigns with accurate data. 
  • Log and maintain accurate records of grant information in the donor database to ensure compliance, reporting, and acknowledgment requirements are met. 
  • Maintains and organizes invitation lists to ensure accurate outreach and maximize participation. 
  • Schedules donor appeals, tracks responses, and compiles statistics to evaluate effectiveness and guide future fundraising efforts. 

 

Team Deadline Management 

  • Supports the Director of Development and Marketing in creating an annual development plan aligned with organizational priorities  
  • Develops and manages schedules and organizational systems for communications to donors, ensuring timely and relevant outreach 
  • Develops and manages deadlines and organizational tools to keep the team on track 

 

Annual Reporting 

  • Plan and manage all aspects of the annual report production, including developing timelines and coordinating content. 
  • Write articles and content for the annual report to highlight organizational achievements and impact. 
  • Design the layout of the report and associated promotional materials, such as postcards 
  • Post the completed report on the organization’s website and set up email distributions to key stakeholders. 


Creative Support/Special Events 

  • Supports the Marketing and Communications Manager in content creation and creative as needed, including the Annual Report, marketing campaigns and appeals 
  • Support the team in day-of event coordination for two major fundraising events annually and other events as needed 
  • All other duties as assigned

Education/License/Certifications 

  • Bachelor’s Degree in Marketing, Public Relations or related field 

Knowledge and Skills 

  • Strong administrative management skills, including interpersonal skills necessary to work with people of diverse cultural and educational backgrounds. 
  • Experience in supervision and management of personnel. 
  • Five to eight years of direct experience in leading, development, and marketing efforts in the non-profit community. 
  • Experience in managing budgets and financial resources preferred
