Without disciplined accounting execution:

The Senior Staff Accountant ensures EHCEC’s financial records are accurate, compliant, and audit-ready so leadership can operate with confidence and funders can trust our stewardship.

This role protects EHCEC’s funding, credibility, and long-term sustainability.

WHAT YOU’LL BE RESPONSIBLE FOR

1. Program & Grant Invoicing (Revenue Protection)

  • Submit 100% of program and grant invoices on time each month
  • Maintain <1% error rate across all submitted invoices
  • Ensure zero invoices rejected due to documentation issues
  • Track 100% of active grant spending against approved budgets
  • Record 100% of grant revenue and program invoices accurately in QuickBooks

2. Clean General Ledger & Reconciliations (Financial Integrity)

  • Complete 100% of bank and credit card reconciliations by monthly close
  • Reconcile payroll to the general ledger with zero unexplained variances
  • Record depreciation and amortization monthly with accurate schedules
  • Maintain accurate schedules for 100% of balance sheet accounts
  • Keep accounting records audit-ready at all times

3. Financial Operations & Controls (Discipline & Reliability)

  • Collect and verify 100% of employee timesheets each month
  • Review and validate 100% of staff and expense allocations monthly
  • Produce ad hoc financial and grant reports within agreed timelines
  • Follow and reinforce internal control procedures with no compliance lapses

4. Audit & Compliance Readiness (Risk Management)

  • Maintain organized, audit-ready documentation for all assigned accounts and grants
  • Support annual audits and funder monitoring visits with timely, complete responses
  • Contribute to zero material audit findings within assigned scope
  • Escalate compliance risks immediately upon identification

WHAT YOU BRING

  • Bachelor’s degree in Accounting or Finance
  • 3–5 years of accounting experience (nonprofit or grant-funded preferred)
  • Strong general ledger and reconciliation experience
  • Proficiency with QuickBooks or similar accounting software
  • High attention to detail and documentation standards

WHAT SUCCESS LOOKS LIKE (30 / 60 / 90 DAYS)

First 30 Days

  • Learn EHCEC’s chart of accounts, grants, and invoicing processes
  • Shadow monthly invoicing and reconciliation cycles
  • Complete at least one full invoicing cycle with supervision
  • Produce reconciliations with review

First 60 Days

  • Independently prepare and submit all program and grant invoices
  • Independently complete bank and payroll reconciliations
  • Maintain organized, audit-ready documentation
  • Produce ad hoc reports with minimal guidance

First 90 Days

  • Fully own grant tracking and documentation
  • Identify at least two process improvements
  • Support audit prep or monitoring requests
  • Be trusted as the primary executor of accounting operations

Physical Conditions:

The staff person must be able to attend meetings on nights and weekends as needed. EHCEC is a collaborative work setting. Employees pitch in to help each other with responsibilities as needed. Team members will be expected to contribute to teamwork and a sense of collaboration.
